<p>Previous minutes reviewed, no comments</p>
<p>Recruiting / Anything New &#8211; emails have been received and responded to.  </p>
<p>Recent and Upcoming Events &#8211; spring campout was as good as any ever.  weather, food, etc very good.  Many long-time members were very pleased with campout.  Much credit to Fritz&#8217;s final email reminding people to sign up.  </p>
<p>Hike bald mountain &#8211; one family showed up (Wrays).  Nathan would like to schedule for late fall next year.</p>
<p>Carwash fundraiser.  No activity on presales or flier or other activity has occurred.  Fritz to contact Chris to find out status.  Might reschedule to a single timeslot.  Also need enough hoses to reach across parking lot.  Fritz has some supplies.  </p>
<p>Beachwood swim party.  All set need to send out notice.  Ice cream drumsticks, guests should bring food if they wish.  Pete to pick up dessert etc, to plan with Fritz.</p>
<p>Circle meeting status &#8211; no news</p>
<p>Council update &#8211; Hayley called Storer re:open dates for next weekend.  Last two in Jan are available.  Decided to try to get Jan 22nd to avoid Troy&#8217;s long weekend the 29th.  Hayley also has Receipt from Ross for food items and from Slavin for pine car medals.  Hayley will have the Y cut a check to treasurer to reimburse for medals.</p>
<p>Balance left was reported.  </p>
<p>Discussed Compass Bearer for next season, looking for volunteers.</p>
<p>Patch master did not come up with patches for hike.  Need 2.<br />
No report from Honor Points chair, YMCA Board Rep, elders</p>
<p>Discussed Yearbook.  Nathan to get reimbursed after purchase by Pete.  Tentative cost per book to be $5.  </p>
<p>Recruiting for fall.  Fritz would like us to get together in early August and map out what to do for next year.  Hayley available first week of August.  Meet weekday night for planning.  Nathan to ask Ann at printing place about recruiting posters.</p>
<p>Kickoff meeting should be late August/early Sep.  Labor day is Sep 6th.  Should have after labor day.</p>
<p>Council positions for fall.  Nathan to put together list of positions and identify candidates.  </p>
<p>Tony mentioned a lost expedition without a YMCA that would be interested in doing combined events (derby, campouts etc).  About 70 families.  Used to be connected to the Warren YMCA.  Hayley to contact about joining Birmingham.  </p>
<p>Hayley to contact torch lake YMCA about an august all family campout (possibly 2nd weekend).</p>
<p>Fritz&#8217;s last act as Navigator was to thank the council and adjourn the meetings for the year.</p>

<p>Shetler, Wilkins, Hauger, Ortel, Murphy, Bedford, Wray, Brune, Bleich</p>
<p>Fritz arrived 7:15</p>
<p>Discussed Spring campout.  Trying to get list of activities finalized with Timbers.  Ed/Pete reported that we&#8217;ve been having some difficulty getting things finalized with Ryan Mertz.  We have a tentative schedule of activities.  Climbing tower / zipline are 8+ so we will have an alternate activity.  Registration at woodland lodge from 5pm till 9:30.  Discussed number of rotations depending on number of kids.  Discussed activities.  Some optional activities Sunday morning.  Pete to confirm horseback riding will be no addtl cost.  Pete to confirm events etc to be added to reminder email, event page.  Also Fritz will send an email.</p>
<p>Discussed recruiting.  Hayley needs to get flier approved for Birmingham.  Nathan to send link to Hayley.  Discussed how to approach Troy schools.  Might stick with approaching individual principals for approval.  Chris mentioned precedent for Alpha Wolf sports talking to Peirce.  Dean said we used to hand out a flier and a compass at bham schools.  Hayley said BHam will distribute fliers directly if approved.  Discussed getting added to troy schools flier.  Need to identify in-person recruiting events at individual schools.</p>
<p>Pinewood derby.  Joe has trophy to be engraved.  Reviewed decisions from last meeting.  Dean discussed previous years times and requested that past years use the &#8220;old&#8221; formula.  He also felt that the old formulas covered participation better etc.  Requested that if we want to do fastest car, that we have some minimum circle participation to be eligible etc.  Dean felt this would be truer to the values of the program.   Discussed many pros/cons of different approaches.  Need to identify &#8220;declared&#8221; winners for previous years as possible.  Dean asked us to talk to Seago for a review of his calculation method.  Still like having separate design/speed winners.  Could decide to use different formula for 2011, council felt 2010 winner had already been declared.  Hayley still need receipts for concessions from Ross Burdick.  Fritz to follow up with Ross, Tom.</p>
<p>Chris reported on the wings game.  32 total attendees.  Pizza pre-game.  Everyone got patch and hats.  Good times were had.  A lot of people were on break, might try to get a different date in future due to break.</p>
<p>Spring fun nighter was a hoot per Fritz.  Played kickball.  </p>
<p>Hike bald mountain.  Palominos to sponsor.</p>
<p>Carwash to be on Saturday June 5th 12-4.  Sharks to sponsor.  All circles will take a time.  Sharks to assign circles / times.  Nathan to send Chris a list of circles.  Plan to presell coupons.  Need coupons to print.  Need to determine cost presale/day of, discussed $2 and $3.  Ed says they did a sports team car wash for $5.   Decided on $3 across the board.  Need signs / sandwich boards for road.  Need fliers.</p>
<p>Beachwood swim party.  We are clear on the date and guest fees are waived per Phil.  Discussed times, 1-3.  Plan to have ice cream sandwiches and hotdogs.  Need flier.  </p>
<p>Hayley asked about reserving for winter 2011 campout at Storer.  Need to pick weekend (Feb 4th?).  Need to identify any spring break / conflicts (superbowl etc).  Could do week before/ week after to miss the superbowl on the 6th.  Planning to pick the lat weekend in January.  No Troy school that friday so could be issue.</p>
<p>Discussed Outfitter, Communications.  Pete Bleich gave finance report.  Phil reported on patches.  Need patches for hike, carwash (community service), spring campout, swim. </p>
<p>Need 75 copies of yearbook.  Nathan to confirm overall cost and report back so we can set price.  </p>
<p>Fall campout is reserved for Oct 22nd.</p>

<p>Review of the 3/2 minutes, accepted as written</p>
<p>Plan to discuss next year&#8217;s agenda at next meeting.  Expedition feels like it&#8217;s on the upswing, should build on that.  Fritz mentioned Hayley approaching various schools.  Had trouble going to school administrator (Troy, BHam), better luck approaching principals directly.  Hayley says bham &#8220;booted&#8221; us out due to promoting sports/conflict.  Might have better luck having dads from in-school approach school.  Fritz asked if Hayley could research what other outfitters have done for next meeting.  Fritz has committed to take on recruiting for next year.  Discussed finding compass bearer for next year.  </p>
<p>Recent/upcoming events.<br />
Red wings &#8211; think it was well attended.  Would like to hear how it went from attendees, please let us know.</p>
<p>Pinewood derby &#8211; 54 cars entered (down from previous year 64).  No report form concessions (waiting for invoice from Ross).  Fritz to follow up on concessions.  Hayley called re: returning extra cars and they said they could accept them.  Approx 20 cars were bought and not entered.  Next year we need to publish more specific dimensions (height 4 3/4 inches, weight in ounces only) and rules for cars that jump the track, and how to record the times for that car.  could look at second track from right for bump.  Discussed the &#8220;big trophy&#8221;.  History is that the trophy was retired after 2006 due to conflicts on how to compute the winner.  Joe presented several formulas that give different winners.  Fritz suggested the trophy go to the fastest car&#8217;s circle.  Discussed various formulas for determining winner.  Decided to go with fastest car&#8217;s circle wins speed trophy for their circle.  2010 speed winner determined to be Sequoia.  Also agreed to a separate overall design award to be engraved on same trophy, awarded to Wildfire (Ben Hadad) for 2010.  Future years, overall design will be judged before race by council/elders</p>
<p>Spring fun-nighter this weekend.  Decided to push out a week to the 24th.  6:30-7:30 swimming.  Tony to get pizzas (Sequioa to Sponsor).  Recommended to get 10 pizzas.</p>
<p>Spring Campout, Wildfire to sponsor.  At Timbers.  Price is 136/50, registration not yet open.  Hayley to mail activities to Pete this week.</p>
<p>Hike bald mountain moved to Sunday the 23rd to avoid holiday weekend.  Palominos to sponsor.  Could be north or south, determine by next meeting.</p>
<p>Carwash June 5th.  Need a volunteer to sponsor.  Need to collect cans (presale tickets).  Running in YMCA parking lot.  Hopefully have warm weather.  pairs of circles to operate.</p>
<p>Beachwood swim party.  Fritz spoke to LaBelle who talked to the board.  could be 2/3 of people already members.  Could move to Sunday.  Might get a subsidized rate and pay for entrance.  Fritz believes we can make this work.  Sponsored by Mohawks.</p>
<p>No other events to discuss.</p>
<p>Hayley &#8211; needs receipts.  No concessions, medals receipts.  Need to locate the cashbox (slavin?) and get an accounting of the funds.  Fritz to follow up.</p>
<p>Nathan reported on website/communication efforts.</p>
<p>Finance chair reported, waiting for some pinecar numbers.</p>
<p>Patchmaster &#8211; Fritz to discuss fun nighter with Phil.</p>

<p>Board issues, background checks, elders &#8211; nothing to report.</p>
<p>Yearbook &#8211; Pages due second week in May.  Nathan to add event, reminders to calendar, send email.  Pages for circles (approximately 4 pages per circle).  Also pages per event, sponsoring circle to create event pages.  Need to finalize how many yearbooks to order and figure out pricing.  Nice to have extra yearbooks for recruiting etc.</p>
<p>Spring Carwash 6/5.  Will discuss next meeting.</p>
<p>Fall campout.  Talked about doing combined boy/girl.  Ohiyesa last year asked about negotiating for single night, should discuss with Copneconic.  Also multi-child discounts.  Hayley to pursue with Copneconic.  </p>

<p>In attendance were Wray, Slavin, Klingler, Hauger, Bedford, Bleich, Shetler, Burdick, Wilker, Murphy, Gerhardstein, Kapala, LaBelle, Brune </p>
<p>Discussed Winter Campout, weather was great, Nancy did a great job.  Discussed camp rules for future campouts.</p>
<p>Daddy Daughter Dance &#8211; very successful, 40 people, DJs did balloon animals gifts etc.  Very happy with DJ service.  Some balloons were left on the floor etc.  Need to be aware of sports next day</p>
<p>Sledding was a hit.  Good snow, slightly warm some melting/mud.  Hot chocolate was good.  Well attended.  Expenses less than $20.</p>
<p>Red wings event April 3rd.  Chris Wilker mentioned the Alumni room, could do pizza before the game.   Also girl&#8217;s have pre-event meet with players.  Chris Wilker / Sharks sponsoring.  Send email to expedition to get headcount, get count to Chris.  Chris handling communication with Redwings representitive from here out.</p>
<p>Pinewood Derby.  Discussed task assignments RE: Fritz&#8217;s orders.  Hayley mentioned issue with Saturday 6:30 travel team until 8:30pm.  Decided to set up after game.  On Saturday we have the meeting rm at 12:15.  Need key to YMCA storage unit for track.  Checkin should be 2-6 instead of 5 on Sat.  Hayley ordered bleachers.  Ross Burdick / Harlan handling concessions.  Thom says medals have gone up from last year (about 10%).  Discussed the year/name plate being addtl cost.  Decided to keep the name/year plate.  Think we had 70-80 cars registered last year (68 ran per Thom).  Ordering same number of medals as last year.  Sharks setting up track at 8:30.  Need YMCA key.  Thom has keys for the boxes.  Phil says we borrow the car carrying boxes from the boy scouts every year (enough for 80 cars); he will coordinate.  Slavin/Seago/Gerhardstein to handle the judging computer setup etc.  Phil to handle patches.  Gerhardstein to bring wireless mic and handle speaker, music.  Thom to bring projector screen.  Hayley reserving projector.  Registration should be Saturday only.  Thom and Joe to own registration.<br />

<p>Beachwood Swim Party.  Phil to review date and confirm, may be guest fees involved if club is open.  Concerned about having it peak day/peak time during season.</p>
<p>Carwash/strong kids fundraiser &#8211; Hayley says June 5th is a good date, no sports that day.</p>
<p>Hayley had email from Metro.  Starting 10/11 season all dads reqd background check and child safe training.  All guide leaders must have them immediately.  Hayley to follow up with what this means, cost, etc.</p>
<p>Various circle activities reported by navigators:  Bravehawks marshmellow guns fight, Calypso went to Lowes for craft and built jewlery contraptions in the AM, Harlan made paper airplanes, Sharks had a superbowl party for 200, Argonauts went to Henry Ford and saw under the sea in 3d, others.  </p>
<p>Communications gave report, all is good.</p>
<p>Finance gave balance, paid out reimbursements.  Unfortunately, Pete Bleich (treasurer) is still not on the Guides Bank account due to bank issues; need to correct this asap or go to another bank.</p>
<p>Patchmaster gave report, continuing to run through old patches.</p>
<p>Honor points will be accounted next month.</p>
<p>Webmasters gave report, they were commended for a great job updating the web page.</p>
<p>Chris gave YMCA rep report.  Strong kids campaign is the big push this year.  Comedy night fundraiser April 30th at the Townsend in Birmingham (Joe Nipote and friends).  Chuck Gaidica to MC.  Ticket cost etc not determined.  Not a kids event.</p>
<p>Thom asked about a scholarship acct for strong kids funds, earmarked money for guides.  Hayley mentioned funds in the past.  Thom to follow up with Hayley.</p>
<p>Discussed yearbook at 5.50 per copy.  Could sell at $5 and cover the difference.  Could ask for sponsoring in the back of the yearbook.  </p>
<p>Could review having ads on the guides website.  Nathan to review.<br />
Pages must be in by late May, looking at 2 week lead.  Event pages should be made soon after the event.  </p>
<p>Carwash.  Sell tickets in advance.  Collecting cans for tickets.  </p>

<p>Skating, Funnighter were discussed.</p>
<p>75 people signed up as of today for campout.</p>
<p>Need torches for campout &#8211; Nimble Blackbears (Fritz will handle)</p>
<p>Riding at winter campout must be paid for at campout</p>
<p>Hayley and Nathan to work on rotations, cabin assignments</p>
<p>Movie was discussed &#8211; cloudy with a chance of meatballs.  Nathan to bring speakers, Bedford to bring laptop, camp has projector and screen.  Shetler to check on getting DVD.</p>
<p>Daddy Daughter Dance budget was discussed, guessing headcount at about 40 (?).  Planning on a $5 cover charge.  Details to follow.  Setup beginning at 6.  Flier ready to go.</p>
<p>Sledding the 28th, Harlan to sponsor.  Suggested sledding hills  &#8211; Beverly Park on Beverly Road and 13 1/2 (west of southfield).  Also suggested Sylvan Glen or Bower Farm.  Fritz to follow up with Harlan (Ross Burdick).  Will borrow large YMCA cooler jug for hot chocolate.</p>
<p>Pine Wood Derby &#8211; need to order cars.  Should be $5 per car.  Hayley to order cars based on last years head count.  Need a flier.  Sponsor is Sharks with Harlan doing concessions.  Assuming the same categories for medals as last year.  Thom Slavin ordered the medals last yearand slated for this year too.  Planning on one bleacher based on last year.  Need to get Harlan a budget for concessions, last year we had extra.  Sharks to do flier.  20th is weigh in 21st is the derby.</p>
<p>Spring campout May 14th at Timbers.  Wildfire to sponsor.</p>
<p>Other events &#8211; Discussed carwash Jun 5th Saturday.  Might need to move to Sunday the 6th.  Will do pre-pay tickets and also the option to pay in returnables.</p>
<p>Hike Bald Mountain May 28th.  Details TBD.</p>
<p>Circle meeting status</p>
<p>Attendees reported.  Wildfire put together care packages for Haiti.</p>
<p>Yearbook &#8211; need to determine estimate and pricing.  Need to get an estimate for 50-60 pages in color or B&amp;W.</p>
<p>Hayley &#8211; nothing addtl to report.</p>
<p>New website went live today.</p>
<p>Finance chair P.Bleich reported.  Still needs to be added to account.  Fritz to follow up on unpaid circles.</p>
<p>Gerhardstein to contact LaBelle about getting more patches for winter campout.</p>
<p>Bravehawks banned electronics from the campout based on results at the boy&#8217;s fall campout.  Discussed email to sugest the same for other circles.</p>

<p>Participants included Klingler, Wray, Wilker, Murphy, Bleich, Burdik, Gerhardstein.</p>
<p>Scheduled events, recent and future:</p>
<p>Bell ringing &#8211; Several circles participated in separate bell ringing: Paliminos, Wildfire, Sequioa and Calypso that we know of.  Each raised about 150+ dollars</p>
<p>Family Fun night this Saturday the 9th, swimming 7-8, play in the gym 8-9:30 with pizza (Pete will take care of pizza, pop)<br />
Haley to make sure cart of balls will be available</p>
<p>Skating flier to be updated (patch event, family event) and sent out.</p>
<p>Winter Campout &#8211; minimum is most likely 60<br />
Need to get the flyer together, select events, get torches<br />
Snow snakes this year?  On toboggan run on other side of the lake.<br />
Might bring unfinished snakes this year and let the kids finish<br />
Registration will be open by Friday the 8th<br />
Storer has a screen and projector</p>
<p>Daddy Daughter Dance Feb 20th 7pm.  We should get the flyer out ASAP so dates can be reserved.<br />

<p>YMCA strong kids fund &#8211; Guides/Princesses to raise money?  Possibly a car wash this spring</p>

		<description><![CDATA[Minutes of the 12/1 Council Meeting]]></description>
			<content:encoded><![CDATA[<p>Family Fun Night &#8211; moved to Sat Jan 10th.  Pete will look for a sponsor.<br />
Swimming 7-8, activity after TBD (theme?)</p>
<p>Kettle ringing &#8211; Buckets are picked up before ringing.  Suggested to bring card table for coffee, snacks etc.  Wildfire brought caroling booklets and sang.</p>
<p>Ice skating &#8211; Details will come out after the new year.</p>
<p>Winter Campout &#8211; discussed briefly, Hayley to get details on projector.  Torches.  Snow snake races?  Dave to try and find diagram.</p>
<p>Daddy Daughter Dance &#8211; Calypso to sponsor.  Talking about a Hawaiian theme / Fashion Show.  Looking at the DJ that did last years show for $150.  Dave to research DJs and have more info next month.  Talked about pictures.</p>
<p>Spring campout.  Wildfire to sponsor.</p>
<p>Outfitter &#8211; Hayley to add our Jan funnighter to the eagle</p>
<p>Finance &#8211; Reported on the finances.  Pete still not on account.  Waiting for some circles to pay in activity fee.</p>
<p>Website &#8211; talked about archiving the photos off of the website for now and checking the site for broken links.  Should we add a secured area for sharing pics?  Also circles can use their yahoo sites for sharing pics.</p>
<p>Newsletter &#8211; Hayley talked about the old newsletter which stopped two years ago.  Hayley said she had a hard time getting content.  Suggest maybe 3 times a year after each campout.  Hayley could resume creating and publishing if content is available.  Also brought up the yearbook concept with a page for each event, also collage pages for each circle.  Could be done as hardcover available to order, and electronic copy available to anyone.  Suggest that the circle that sponsors should create a page for each event.</p>
